My client is a Sydney based commercial building company who have a proven experience in delivering high quality commercial projects ranging from $5-$40 mil. They are a high performing and professional close knit team to take pride of their work and have a great reputation in the industry.
Due to continuous growth they are now looking for an experience Office Manager with accounts experience to go in and take ownership of the day to day running of the office and accounts.
The role
This is a hands-on, broad role combining office management with accounts responsibility. You'll be the operational backbone of the business — keeping the office running smoothly while owning the accounts payable and receivable cycle, subcontractor claims, and financial administration through Jobpac. You'll work closely with the commercial and project teams and report directly to leadership.
Key responsibilities
Accounts
- Manage accounts payable and receivable end-to-end through Jobpac
- Process subcontractor progress claims, retentions, and payment schedules in line with the SOP Act
- Reconcile supplier statements, manage the vendor ledger, and resolve invoice queries
- Prepare and process payment runs
- Assist with monthly reporting, cost-to-complete inputs, and cashflow tracking alongside the commercial team
- Manage BAS/GST inputs and liaise with the external accountant
- Payroll processing and superannuation (or coordination with our provider)
- Run the day-to-day operations of the North Sydney office
- Manage supplier and vendor relationships, insurances, subcontractor compliance documentation, and licensing records
- Coordinate onboarding administration for new staff and subcontractors
- Maintain filing, document control, and general administrative systems
- Support the leadership team with ad hoc administrative and commercial tasks
- Prior experience in a building / construction company (head contractor or subcontractor) — this is non-negotiable
- Proficiency with Jobpac (not equivalents) — you can operate the AP/AR, subcontract, and progress claim functions confidently
- Strong understanding of construction accounts, including subcontractor claims, retentions, and progress payments
- Working knowledge of the Security of Payment Act as it applies to claims and payment schedules
- Excellent attention to detail and a methodical, organised approach
- Able to work autonomously and take ownership of the function
